Who we are

DeskCrew.ai is a trading name of The Technology Framework Ltd ("we", "us"), registered in England and Wales, company number 13918137, at 20-22 Wenlock Road, London, N1 7GU. We are the data controller for personal data collected through this website. Contact: hello@deskcrew.ai.

What we collect and why

Contact form: your name, contact details and message, used solely to respond to your enquiry. Sent to us by email and retained only as long as the enquiry requires.

Bookings: when you book a call, your name, contact details and chosen time are processed by Microsoft Bookings (Microsoft 365) to create the appointment, along with any requirement notes you choose to share so the consultant can prepare.

AI voice assistant: conversations with our assistant, whether on the website or by phone, are transcribed and summarised by ElevenLabs to answer your questions, take booking details and record what you tell us about your requirements. Please do not share payment details or sensitive personal data with the assistant.

After each AI voice call, we create a private internal report containing the call summary, spoken transcript and AI-assisted sales, delivery and sign-up recommendations. It is sent only to a restricted company mailbox so an authorised team member can review the enquiry. The recommendations are internal guidance and must be checked against the transcript before anyone acts on them. Reports for enquiries that do not become clients are kept for no more than 90 days; relevant records for a client relationship may be kept for the relationship and up to 24 months after the contract ends.

We do not sell personal data, we build no marketing lists from your visit, and the only advertising-related measurement we run is the Google conversion tracking described under Cookies and analytics below, which stores nothing in your browser unless you consent.

Signing up for DeskCrew

When you complete our signup form we collect the details needed to contract with you and to set your service up: your registered company details and VAT number, your billing and registered addresses, the name, email address and phone number of the people you name as contacts, the details of your phone setup, the material your AI agent will answer from, and your answers to our data protection questions. We also record when you accepted our terms, together with the IP address and browser you accepted them from, so that we have a record of the agreement.

We are the data controller for everything you enter here. We use it to price and take your order, to raise your invoice, to set your service up, and to keep the accounting records the law requires of us. Where you contract as a company we process your colleagues' work contact details because we have a legitimate interest in administering our contract with your business. Card details are never part of this: they go straight from your browser to Stripe and do not reach our systems at any point.

If you do not complete payment. Your answers are saved before we ask for your card, so that we can never take a payment we have no record of. If the payment fails, or you do not come back, we keep what you entered for 30 days in case you want to pick the order up, and someone may ring you about it during that time. After 30 days we delete the detail. We keep a short record of the attempt (your company name, the amount and the date) for 12 months so that we can answer any question about whether you were charged. You can ask us to delete all of it at any time, and we will.

Who else is involved. Payments are handled by Stripe, which acts as a separate data controller for the payment itself and applies its own privacy policy. Our website and our order records are hosted on Microsoft Azure, and our emails are sent through Azure Communication Services; Microsoft acts as our processor for both. Your order pack is received into a Microsoft 365 mailbox. Once you become a client and we build your agent, your service data is also processed by ElevenLabs and by our telephony provider, both acting as our sub-processors. No signup data reaches ElevenLabs or a telephony provider before a build starts.

International transfers. Our hosting and order storage are in the United Kingdom. Stripe and ElevenLabs are based in the United States and transfer data there under the safeguards required by UK law, including the UK International Data Transfer Addendum and, where applicable, the UK Extension to the EU-US Data Privacy Framework. We hold each provider's data processing agreement and will share the relevant terms on request.

How long we keep it. Financial and order records: seven years from the end of the accounting year, because HMRC and the Companies Act require it. The detail you gave us to build your service: 24 months after your contract ends. Unpaid or abandoned orders: 30 days for the detail and 12 months for the record of the attempt. Copies held in our setup mailbox: 24 months for clients, 90 days otherwise.

Marketing. We do not add you to a marketing list because you started a signup. If your payment does not complete we may contact you once to help you finish it, which is a service message about a purchase you started and not marketing.

Cookies and analytics

We use Google Analytics (GA4) to understand how visitors use the site, and Google Ads conversion tracking to see which of our adverts lead to enquiries, bookings and signups. Both are provided by Google (Google LLC), acting as our processor, and the data is used only to improve the site and our advertising, never to identify you personally. We run no remarketing and build no advertising audiences.

Neither sets a cookie until you choose. When you first visit we ask, with a banner, whether to accept analytics. Decline, and Google's tags run in a cookieless mode that stores nothing in your browser; the site works exactly the same. Accept, and Google may set analytics and conversion-measurement cookies. Either answer is remembered for 12 months, then we ask again.

You can change your mind at any time by clearing this site's data in your browser, which brings the banner back on your next visit. You can also block these cookies in your browser settings or use Google's opt-out browser extension.

Lawful basis

We process enquiry, booking and assistant-conversation data on the basis of legitimate interests (responding to business enquiries you initiate) and, where an engagement follows, in preparation for a contract.

Signup data has its own bases, set out under "Signing up for DeskCrew" above: performing our contract with you where you contract as an individual or a sole trader, legitimate interests in administering that contract where you contract through a company, and legal obligation for the VAT and accounting records we have to keep.

Processors and transfers

We use Microsoft 365 (email, bookings), ElevenLabs (voice assistant transcription), Google (analytics and advertising conversion measurement) and our hosting provider as processors. Where any processing occurs outside the UK, it is covered by the provider's standard contractual safeguards.

Your rights

You may request access to, correction of, or deletion of your personal data, or object to our processing, by emailing hello@deskcrew.ai. You may also complain to the Information Commissioner's Office (ico.org.uk).
